1. Define Your Sales Stages

Identify and document the different stages your sales opportunities go through, from initial contact to closing the deal. Each stage should represent a specific phase in your sales cycle.

2. Create Sales Processes Opportunity in Salesforce Sales Cloud :

Why do we need sales processes to be created before the record type needs to be implemented in the opportunity object?

An Opportunity record type must be associated with the Sales Processes. You currently do not have an active sales process. So You must create a Sales Process before creating an Opportunity Record Type.


Sales processes in Salesforce allow you to map out different stages for different types of sales. Follow these steps Sales Processes Opportunity Stage picklists in Salesforce Sales Cloud:

  1. Go to Setup: Click the gear icon and select "Setup."

  2. Sales Processes: In the Quick Find box, type "Sales Processes" and select it.

  3. Create Sales Process Demo 1:

  • Click New.

  • Give the Sales Process a Name: Demo 1.

  • Provide a Description (optional): Sales Process Demo 1.

  • Select the opportunity stages that you want to include in this sales process.

  • Click Save.

  1. Create Sales Process Demo 2:

  • Click New.

  • Give the Sales Process a Name: Demo 2.

  • Provide a Description (optional): Sales Process Demo 2.

  • Select the opportunity stages that you want to include in this sales process.

  • Modify the necessary stages or criteria as needed.

  • Click Save.

  1. Verify Existing Sales Process Demo 1:

  • Search for the existing Sales Process Demo 1.

  • Make sure it has the correct stages and criteria as intended.

  1. Select Opportunity Stages: Choose the stages relevant to this sales process and save it.

3. Create Record Types

Record types allow you to offer different business processes, picklist values, and page layouts to different users. To create a record type:

  1. Go to Setup: Click the gear icon and select "Setup."

  2. Object Manager: In the Quick Find box, type "Object Manager" and select "Opportunity."

  3. Record Types: Select "Record Types" and then "New Record Type."

  4. Create Record Type: Enter the Record Type Label, and Record Type Name, and select the Sales Process created earlier. Optionally, choose which profiles can access this record type.

4. Assign Record Types to Users

Assign the newly created record types to specific profiles:

  1. Go to Setup: Click the gear icon and select "Setup."

  2. Profiles: In the Quick Find box, type "Profiles" and select the profile to which you want to assign the record type.

  3. Object Settings: Under Object Settings, select "Opportunities."

  4. Record Type Settings: Click "Edit" and assign the appropriate record type(s) to the profile.

5. Create Validation Rules (Optional)

To ensure that users follow the correct process, you can create validation rules that enforce certain criteria at specific stages.

  1. Go to Setup: Click the gear icon and select "Setup."

  2. Object Manager: In the Quick Find box, type "Object Manager" and select "Opportunity."

  3. Validation Rules: Select "Validation Rules" and then "New."

  4. Define Validation Rule: Set up the criteria for your rule and define the error message that users will see if the criteria are not met.

6. Update Page Layouts

Ensure that the fields and related lists on the Opportunity page layout are appropriate for each stage:

  1. Go to Setup: Click the gear icon and select "Setup."

  2. Object Manager: In the Quick Find box, type "Object Manager" and select "Opportunity."

  3. Page Layouts: Select "Page Layouts" and then the layout you want to customize.

  4. Edit Layout: Add or remove fields, sections, and related lists as needed.

7. Train Your Users

Once everything is set up, provide training to your users on how to use the new sales process and record types. Ensure they understand the purpose of each stage and how to update opportunities accordingly.
